This AI Chatbot Privacy Notice ("Notice") supplements the American Threads Privacy Policy and explains how American Threads ("we," "us," or "our") collects, uses, and discloses information when you interact with "Aria," our artificial intelligence ("AI") powered customer service assistant available on our website at shopamericanthreads.com (the "Chatbot").
By using the Chatbot, you acknowledge that you have read and understood this Notice. If you do not agree with the practices described herein, please do not use the Chatbot. You may instead contact our customer service team directly at [email protected].
1. About Aria and Automated Processing
Aria is an automated conversational assistant powered by artificial intelligence technology. When you interact with Aria, your messages are processed by AI models to interpret your requests and generate responses. You are communicating with an automated system, not a human representative.
Aria is designed to assist with order status inquiries, shipment tracking, returns and refund questions, product information, and general customer service matters. Aria's responses are generated automatically and may not always be accurate or complete. For matters requiring human assistance, you may request escalation at any time, and our customer service team can be reached directly at [email protected].
2. Information We Collect Through the Chatbot
When you interact with Aria, we may collect the following categories of information:
Conversation Content. The messages, questions, and any text you type or submit into the Chatbot, including any personal information you choose to provide within those messages.
Contact Information. Email addresses you provide to verify your identity or look up order and return information.
Order and Transaction Information. Order numbers, return merchandise authorization (RMA) numbers, tracking numbers, and related transaction details you provide or that we retrieve to assist you.
Technical and Device Information. Internet Protocol (IP) address, session identifiers, timestamps, and similar technical data automatically collected when you use the Chatbot. We use this information for security, fraud prevention, rate limiting, and abuse detection.
We do not intentionally collect sensitive personal information through the Chatbot. Please do not enter payment card numbers, passwords, government identification numbers, or other sensitive information into the Chatbot.
3. How We Use Your Information
We use information collected through the Chatbot for the following purposes:

4. AI Service Providers and Disclosure of Information
To operate the Chatbot, we share certain information with trusted third-party service providers who process information on our behalf. These providers are contractually obligated to use the information only to provide services to us.
Anthropic, PBC. The Chatbot is powered by Claude, a large language model developed by Anthropic, PBC ("Anthropic"). When you interact with Aria, the content of your messages and relevant context is transmitted to Anthropic's application programming interface ("API") for processing in order to generate responses. Anthropic processes this information as our service provider. For information about Anthropic's data practices, please review Anthropic's privacy policy at anthropic.com/legal/privacy.
Other Service Providers. We also use service providers to support order management, returns processing, shipment tracking, and website hosting. These providers may receive order numbers, email addresses, or related information necessary to fulfill your requests.
We do not sell your personal information, and we do not share your personal information with third parties for their own marketing or advertising purposes.
5. Data Retention
We retain conversation logs and associated technical information collected through the Chatbot for a period of ninety (90) days, after which such information is automatically deleted, unless a longer retention period is required to comply with our legal obligations, resolve disputes, prevent fraud or abuse, or enforce our agreements.
6. Data Security
We implement reasonable administrative, technical, and physical safeguards designed to protect information collected through the Chatbot, including encryption in transit, access controls, rate limiting, and automated abuse detection. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your Privacy Rights
California Residents (CCPA/CPRA)
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act ("CCPA"), provides you with specific rights regarding your personal information:

Right to Know. You have the right to request that we disclose the categories and specific pieces of personal information we have collected about you, the categories of sources, the business purpose for collecting it, and the categories of third parties with whom we share it.

8. Automated Decision-Making
Aria provides automated responses to customer service inquiries. The Chatbot does not make legal or similarly significant decisions about you (such as decisions regarding credit, employment, or eligibility) without human involvement. Verification of your identity and any consequential actions concerning your order or return are subject to our standard business processes.
9. Children's Privacy
The Chatbot is not directed to children under the age of 13 (or the applicable age of digital consent in your jurisdiction), and we do not knowingly collect personal information from children through the Chatbot.
